Vendor Packages

Vendor Packages will provide an opportunity of significance to promote existing and new products, enhance brand and product visibility, reach the market you are targeting for potential buyers, increase customer relation-ships and Sales, generate new business and boost your companies name recognition! 

Categories for Vendor Stations

Vendor stations/booths will be classified under one of the following two categories:

 

INFORMATIONAL

Informational: This category includes the distribution of brochures, flyers, pens, pencils, stationery, buttons, and other promotional items that are not for sale.

MERCHANDISE

Merchandise: This category includes the sale of products, services, food, and non-food items.

 

Please note that alcohol sales are strictly prohibited at the event.

PACKAGES

Crystal Vendor Package: $200.00

Harmoni Vendor Package: $150.00

This package includes one (1) 6′ skirted table, two (2) chairs, and one (1) waste basket. The vendor is expected to promote the event to their followers and/or place the event on their websites, social networking pages, and blogs. The vendor table will be located and set up inside of the event space with the show or in the prime location where the event is taking place. The vendor’s company name and web link will be included in the program as well as on the website. There may be an additional fee for electrical outlets.

This package includes one (1) 6′ skirted table, two (2) chairs, and one (1) waste basket. The vendor is expected to promote the event to their followers and/or place the event on their websites, social networking pages, and blogs. The vendor table will be located and set up directly outside of the event space in the open entrance and registration area with other vendors. The vendor’s company name and web link will be included in the program and website. There may be an additional fee for electrical outlets.

Prize Giveaway Sponsor: FREE

If you are looking for an inexpensive way to support one of our events and increase company and product awareness, this option is perfect for your company. We will place your donated gift certificate, gift bag, special gift, or product in front of many attendees. The prize giveaways will be distributed during the event along with all donated marketing gifts. You and your company can be acknowledged and recognized once your donated prize is provided and distributed.

Gift Bag Marketing: FREE

Insert your samples, desired marketing materials, and business cards into our complimentary gift bags for all ticket holders to receive.

Frequently Asked Questions.​

YES, vendors are required to provide their own insurance, including liability insurance and compliance with any State of Florida requirements. If vendors are providing certain products or services, they may be required to have more than the liability insurance coverage amount, and they will be notified if this applies to them.

YES, It is the responsibility of vendors to ensure that the area they occupy is left clean and tidy after the event ends. This includes removing all trash and taking with them any personal or business items they brought to the event. Vendors must leave the area in the same condition as it was prior to their arrival. Failure to comply with this requirement may result in additional fees or the loss of future vending opportunities.

Genvien, LLC is not liable for any lost or stolen items. It is the sole responsibility of vendors and attendees to keep track of their personal and business belongings.

The vendor will be notified in advance of the designated timeframe for dismantling and removing all items brought to the location after the event concludes. The vendor must ensure that the location is left clean and free of trash and in the same condition it was prior to the vendor’s occupation.

YES, All vendors are expected to maintain a professional demeanor at all times. The vendor’s staff should dress in a clean, neat, and appropriate manner and behave in an orderly fashion. This includes refraining from inappropriate dressing that reveals body parts, racial gestures, inappropriate language, hate crimes, or any other behavior that Genvien deems inappropriate. As vendors, it is our responsibility to present ourselves in a professional manner. Therefore, shoes and shirts are always required.

 

NO, The use of inappropriate language is strictly prohibited at all times during the events. Vendors and attendees are strictly prohibited from consuming alcoholic beverages or drugs on the premises. Any individual found to be under the influence of drugs and/or alcohol will not be permitted to attend or participate in the events.

Please note that we do not offer refunds under any circumstances. Before applying for a vendor booth, please ensure that you will be able to attend the event, as we have a limited number of booths and count on vendors to be present. It is the vendor’s responsibility to arrange backup plans in case of unforeseen circumstances. 

The vendor is not permitted to sell any goods or services during the event, other than those specified in the agreement with Genvien, LLC, without prior written consent from the host.
10. ARE THERE ANY REQUIREMENTS ON THE SIZE, LENGTH, WIDTH, AND HEIGHT OF THE ITEMS WE BRING IN FOR OUR VENDING STATION? 
YES, The size of a vendor’s vending station should not exceed the dimensions specified in the agreement between the vendor and the host. It should be maintained in a clean and organized manner, and should adhere to all relevant laws and regulations. If there are any uncertainties, it is recommended to contact the event coordinator at [email protected] for clarification.

No, vendors are not allowed to announce the availability of their goods beyond the confines of their vending location. Only the vendor’s staff who are within the vendor’s location can announce the availability of their goods to customers. Genvien staff may announce the vendor’s goods and/or services before the event, during the event, intermission, and after the event, based on the agreement between the Vendor and Genvien, LLC.

NO, Vendors and their staff are prohibited from using loud music, noise, or sound amplification devices at or outside the event location.

The vendor assumes full responsibility for any damages or claims that may arise in connection with their presence at the Event and their activities, including but not limited to property damage, injury, or any other liability.

Yes, vendors must comply with all regulatory codes and provisions as administered by Fire, Regional Public Health, provincial and local authorities, as well as those of Genvien, LLC and the Events Committee. This includes but is not limited to food safety regulations, building and electrical codes, and other applicable laws and regulations.

Once you arrive at the event location, please go to the Check-In Station and show your ID Badge. There will be staff on-site to direct you to your station.

Upon arrival at the event location, vendors are required to proceed to the Check-In Station and present a valid ID or Driver’s License. After successful check-in, vendors will receive their Vendor ID Badge if they don’t have one yet. On-site staff will be available to assist and guide vendors to their designated station.

Yes, even if you already have your Vendor ID, you are still required to check-in at the Check-In Station and show your Vendor ID Badge. Staff will be available on-site to guide you to your station.

Any representative of the vendor who does not have a valid Vendor ID Badge is not permitted to accompany the vendor without purchasing a ticket.

If you lose your Vendor ID Badge, you will need to purchase a replacement for fifteen dollars ($15). To obtain a new badge, you must show a valid ID or driver’s license. The new badge can either be mailed to you or picked up at the next Genvien event.

It is important for all Vendor Representatives to be registered with Genvien, LLC and issued a badge in order to enter the Event as a Vendor or Vendor Staff. Each Vendor will be issued one badge, and one additional badge will be issued to a staff member. Additional representatives or staff members must purchase a ticket to enter the event. No exceptions will be made.

Vendors must have additional representatives/staff approved prior to the event in order for them to assist at the vendor’s station. However, each vendor station has limited space and seating, and there is no guarantee that extra seats will be provided for additional staff. If extra seating arrangements are made, the vendor will be responsible for paying any additional fees 7 days prior to the event.

NO, Please note that Genvien, LLC cannot guarantee that tickets will not be sold out on the day of the event. We highly recommend purchasing tickets in advance to ensure your attendance.

If you have purchased special accommodations, please inform one of our staff members at the time of check-in.
